Your agreement
Operations OS Ltd (company number 17431573) supplies the company workspace. These terms apply to company subscriptions purchased for business purposes. The person creating a company confirms they are authorised to accept these terms and the data-processing addendum for that business. Workers do not buy the company subscription. Personal worker accounts follow the app terms and privacy notice.
Your order identifies your operational base, chosen plan, currency, monthly charge, included active people and additional-person rate. The order and these terms form the service agreement. A worksite or temporary venue does not automatically become another paid operational base.
Trial and subscriptions
A company trial lasts 14 days from creation. No payment is required to start it and the trial does not automatically charge you. A paid subscription starts only when you explicitly complete secure checkout. Review the payment date and total shown there; purchasing before a trial ends may start billing immediately rather than extending the free period.
Subscriptions renew monthly until cancelled. NW Starter includes 20 active people; NW Pro includes 50. Active owners and administrators count towards the allowance. A person with several roles counts once at the same base. Unaccepted invitations and archived people do not count as active places.
The first-launch GBP prices are £24/month for NW Starter and £59/month for NW Pro, with additional active people at £1.50 each per month. Additional-person charges use the highest eligible active-person count during the billing period, less the included allowance, and are billed afterward. Removing a person later in that period does not reduce its recorded peak. Checkout requires separate acknowledgement of this charging method. Other supported currencies use the fixed prices displayed in your order, rather than a daily exchange rate.
NW Network is optional on NW Starter and NW Pro at the displayed per-workplace monthly price (£15 in GBP). Workers use Network without buying this company add-on. Opportunities, applicants and availability depend on participating users; no particular recruitment result is guaranteed. Ops Core and Ops Pro are planned offerings, not first-launch purchase options.
Operations OS is currently not registered for UK VAT and does not add UK VAT. We will show any applicable taxes and total before you buy. A currency choice does not establish tax exemption or the customer's tax jurisdiction.
Cancellation, changes and failed payments
The authorised billing owner can cancel renewal through company billing. Cancellation stops the next recurring base/add-on renewal and takes effect at the paid period's end. Charges for additional people already used can still be due. Cancelling payment does not dismiss workers, cancel an employment obligation or erase company records.
Self-service plan changes are not available at first launch. Contact admin@operationsos.co.uk to discuss a change; a request alone does not change the plan, price or worker allowance. We will provide the effective date and price for review before agreeing a change.
Payment problems are shown in billing. The application may restrict new company changes if a subscription is no longer entitled; retained records remain subject to permissions, export options and retention rules. Tell support promptly if a payment or charge looks incorrect. We will investigate and correct errors. These terms do not remove rights to refunds or remedies required by law; refunds are handled according to those rights.
Using the service
We provide the released features of your purchased plan with reasonable care and skill. Planned features are not a delivery promise. Internet access, supported devices and, for native apps, availability through the relevant store are needed. We do not promise uninterrupted availability or a particular response-time service level.
Your company controls workplace access, roles, agreements, rates, scheduling decisions, reviewed hours and the lawful use of worker information. You must check operational decisions and outputs before relying on them. Approved amounts are work records, not proof of payment or a substitute for payroll, tax advice or statutory records. Safety, employment and payment obligations remain with the responsible company.
Keep sign-in details private; grant access only to authorised people. Do not upload unlawful content, misrepresent a vacancy, bypass security or use the service to harass people. The published app content terms apply to adverts, messages, attachments and worker content. Ownership stays with the relevant user; permission is limited to delivering the requested service, security and legal requirements.
Support and service restrictions
Contact admin@operationsos.co.uk for billing, support, privacy and security matters. We may restrict affected access where reasonably necessary to protect users, investigate misuse or comply with law. Where practicable we will explain the reason and how to resolve it; urgent security action may come first. A restriction is not permission to erase records outside the applicable retention/deletion process.
Data and ending the service
The privacy notice explains our own account, Network and security processing. The data-processing addendum governs workplace information processed on your company's instructions. Ordinary work history follows the agreed 24-month rule with private export notice at least 30 days before eligible removal; legal holds and other data categories follow the applicable published schedule. This is not unlimited storage. Export and secure any records you must retain independently.
At the end of the processing service you may instruct us to return or delete workplace personal data, subject to lawful retention and protected backup removal. Contact support to arrange that instruction. Subscription cancellation alone does not delete the company or workers' independent accounts. User account deletion and company closure are different processes.
Responsibility and governing law
Neither party excludes liability that law does not allow it to exclude, including fraud or death/personal injury caused by negligence. England and Wales law applies, with courts there subject to any mandatory rights or jurisdiction rules.
We will give notice of material changes to paid terms or future prices before they take effect, with a reasonable opportunity to cancel the affected renewal. They do not retrospectively change completed orders. Your accepted version remains recorded.
